§How Mailicity works

Five minutes to set up. Quiet from then on.

You do the setup once. They open the app the way they always have, and from that day forward their inbox is just the people they actually want to hear from.

i

You set it up

Connect their existing email — Gmail, iCloud, Outlook, anything with IMAP. Add the handful of people who should reach them. Pick how simple the inbox should look. Done.

ii

They open the app

A calm, oversized inbox of mail from the people you've approved. Reply with a tap. No folders, no settings, no scam emails wearing a uniform.

iii

You stay involved

Anything from a stranger lands in your moderation queue — not theirs. You release the good stuff. The rest never reaches them. Siblings can help; the audit log shows who did what.

What's different about it

A few things you won't find in Apple Mail.

Mailicity isn't a layer on top of an email app — it replaces the email app entirely. That lets us make decisions other clients can't.

Three accessibility modes, tunable per person

Tune the inbox to the person who actually uses it. Full controls for the tech-comfortable, a calmer middle, or radically simple for someone who finds Gmail overwhelming — big names, big buttons, no jargon, no folders.

Allowlist, not blocklist

Most apps try to catch scammers after the fact. Mailicity assumes nothing reaches your person unless you've approved who sent it. Account alerts, marketing, phishing — they don't get past the front door.

Their email, not a new one

Mailicity wraps the email account they already have. No new address to remember. No migration. Their friends and doctors keep writing to the address they always have.

No ads. No data sales.

We don't sell anything, anywhere, ever. We're paid by you, the family. Their email is theirs — not a feature in someone else's ad network.

A note —

I built this for my Mum.

When Mum moved into an aged-care home, email became her lifeline. With her hearing mostly gone, it's how she stays in touch with me and her brothers overseas. She's 92, with mild cognitive decline and hands that don't always go where she means them to. She taps the wrong place, switches to a mailbox view she's never seen, applies a filter that hides half her inbox. Every time I visit, I close a couple of dozen blank drafts she's started by accident. And the scam emails arrive faster than I can warn her about them.

I got lucky — I happen to administer the Google Workspace her email runs on, so I could already see her inbox, hold back the worst of it, and let through what she actually needed. Most families don't have that option. And even with it, the tools weren't built for this. I was bolting filters and labels onto a system designed for offices, not for a 92-year-old who just wants to read a note from her brother without wondering if she's been hacked.

What I really wanted was a calmer space. Somewhere only the people she actually wants to hear from get through. Somewhere a wrong tap doesn't take her somewhere she can't get back from. Somewhere the things she doesn't need just now — kind or otherwise — wait quietly until I can decide about them. So I built Mailicity. It works for my Mum. I think it might work for yours, or your Dad, or anyone you're quietly looking after right now.

?Questions, answered

The things other families have asked.

Does Mailicity replace their existing email?

No — it wraps it. We connect to the email account they already use and curate what reaches them. Their real address still works for everyone they write to. Nothing to migrate, no forwarding to set up.

Will they see scam emails or account alerts?

Not in their inbox. Mailicity only shows messages from contacts you've approved. Account alerts, marketing, phishing, anyone they don't know — those land in your moderation queue, not theirs.

What if someone new genuinely needs to reach them?

That's what the moderation queue is for. You get a notification, you decide, and from then on they're either a contact or they're not. The decision is always yours.

What device do they need?

Any iPad or Android tablet. We're iPad-first — that's likely the device your family already has — and we work on Android tablets and phones too. No new hardware to buy.

Can my siblings co-administer?

Yes. Invite as many family members or carers as you like. The audit log shows exactly who did what so nobody's acting alone and nothing gets missed.

What about privacy?

We don't read mail content for our own purposes, ever. No ads, no data sales, no training on their messages. We don't even keep message bodies long-term — we fetch from their real mailbox as you need them and forget.
